For businesses with 1–50 employeesFind out exactly where AI saves your team hours — and where it won't.

A fixed-fee $999 AI Tools Assessment for small businesses: one honest conversation, one short report, one walkthrough. You end up knowing exactly which three things to do first.

The offer

$999

One flat fee. A 45-minute discovery call, a written report naming three to seven specific tools in priority order, and a 30-minute walkthrough. No retainer, no lock-in, no forty-page binder.

Find 5+ hours a week back, or a full refund.

If the report doesn't identify at least five hours a week of realistic savings, say so on the walkthrough call and we refund the whole fee.

60-second fit check

Five questions. A straight answer on whether this is worth your $999.

We'll model the hours and dollars on the table before you talk to anyone. If you're not a fit, it will say so.

How many people are on the payroll?

Including you.

Tool-agnostic by design

We don't sell you a tool. We pick the right one and we know most of them.

There is no single AI product that fits every business, and the honest answer is usually a small stack of two or three cheap ones rather than one expensive platform. We work across the major models and the everyday tools built on top of them, so the recommendation you get is based on your work, not on what we happen to resell.

  • No reseller commissions steering the recommendation
  • Model-by-model fit: cost, privacy, and how it handles your kind of work
  • We'll happily tell you a $20 subscription beats a $2,000 platform
  • New tools get tested against real client work before we recommend them

Azure AI Foundry

Automation & agents · Usage-based

Where a custom agent goes once it needs real governance. Usually a phase-two answer, not week one.

Calendly + AI scheduling

Work-specific tools · Free tier, $10+/user/mo

Ends the back-and-forth email. Pairs with an assistant that reads intent from the inbox.

ChatGPT

Assistants & models · $20–25/user/mo

The generalist. Best first tool for drafting, rewriting and thinking out loud with a small team.

Claude

Assistants & models · $20–25/user/mo

Copilot Studio

Automation & agents · From ~$200/mo

Gemini

Llama

Assistants & models · Hosting cost only

Open-weight model you can run privately when client data can't leave your control.

Make

Automation & agents · $10–30/mo

More logic per dollar than Zapier once your workflow has branches and conditions.

Microsoft 365 Copilot

Assistants & models · ~$30/user/mo

Strongest when your work already lives in Outlook, Teams, Word and Excel. Weakest as a standalone chatbot.

Midjourney

Work-specific tools · $10–30/mo

Original imagery for campaigns and collateral without a stock-photo subscription.

Mistral

Assistants & models · Pennies per 1k requests

Small, fast, cheap models for high-volume classification and extraction work.

n8n

Automation & agents · Free self-hosted

Self-hostable automation when volume is high or the data shouldn't sit in someone else's cloud.

Notion AI

Work-specific tools · $10/user/mo add-on

Turns the scattered how-we-do-it knowledge into something new hires can actually search.

Otter

Work-specific tools · $8–20/user/mo

Transcripts and searchable notes from every call, without anyone typing minutes.

Perplexity

Assistants & models · $20/user/mo

Research with sources attached. Useful for bids, market checks and competitor scans.

Power Automate

Automation & agents · Often included in M365

Moves files, approvals and records around inside Microsoft 365 without anyone re-typing them.

QuickBooks AI / Dext

Work-specific tools · $15–40/mo

Reads receipts and bills, codes them, and chases the ones that haven't been paid.

Zapier

Automation & agents · $20–70/mo

Fastest way to connect two apps that don't talk. Great for small volumes, gets pricey at scale.

A working sample, not the full list. Pricing is indicative and changes often; the assessment gives you the real number for your headcount.

Four steps. Seventy-five minutes of your time.

01

A 45-minute discovery call

We walk through a normal day at your business: how work starts, the tasks you dread, where things pile up waiting on someone. No pitch, no jargon. The call is recorded so you don't have to take notes.

45 minutes of your time

02

We do the analysis

Your whole conversation gets mapped against the tools that actually fit a business your size. Patterns get caught across the entire call, not just the one story you happened to tell twice.

Nothing required from you

03

A stupid-simple report

Three to seven specific tools, ranked by what they're worth against what they cost you to adopt. Top three recommendations up front, a four-day quick-start plan, and an honest estimate of hours and dollars for each change.

Readable in one sitting

04

A 30-minute walkthrough

We screen-share the report and go recommendation by recommendation. You ask questions, we answer plainly, and you decide what to do next. Running with it yourself is a perfectly good answer.

30 minutes, then it's yours

What you walk away with

Clarity, not complexity. Everything below is yours to keep, whether you hire us for anything else or not.

  • A recorded 45-minute discovery call you keep
  • A written report, short enough to actually read
  • 3–7 specific tool recommendations, prioritized
  • A priority matrix: impact against effort
  • A four-day quick-start plan
  • An estimate of hours and dollars saved per recommendation
  • A 30-minute walkthrough call with a person

Is this the right thing for you?

It's a fit if

  • You have between 1 and 50 employees
  • You're the owner or the person everything routes through
  • There's manual work you know is wasteful but haven't had time to fix
  • You've heard you should be using AI and have no idea where to start
  • You've tried a tool or two and nothing stuck

It isn't if

  • You need an enterprise governance and compliance program
  • You're rolling out to hundreds of Microsoft 365 seats
  • You already have a named outcome, a baseline and an internal AI owner
Look at the FRAME method instead

If you want help doing it, we can do it

Entirely optional, and scoped after the assessment once we both know what's actually worth building. Plenty of clients take the report and run.

Process redesign

Map how the work happens today, design how it should happen, and cut the steps that exist only because nobody questioned them.

Automation builds

We build the connections between the tools you already pay for, test them, and hand them over trained.

A knowledge system

An assistant trained on your own documents, policies and templates, so answers sound like your business instead of the internet.

Custom workflows

Prompts and templates built for your recurring work, so an operation that took an hour takes one click.

Full implementation

We set it up end to end and stay until it's running in your weekly rhythm without us.

Ongoing AI concierge

A standing monthly retainer: regular working sessions, messaging access between them, and someone on the hook when something breaks.

Straight answers

What actually happens on the discovery call?

We talk about your business, not about AI. Walk us through yesterday, tell us which tasks you dread, where work sits waiting, and what you've already tried that didn't stick. It's a conversation, and you don't need to prepare anything.

How long does the whole thing take?

About a week and a half end to end. Discovery call, then your report a few business days later, then the walkthrough call. Your total time commitment is 75 minutes.

Do we need to already be using AI tools?

No. Most of the businesses we assess are using none, or one that somebody signed up for and forgot about. Starting from zero is easier, not harder.

Are we locked into anything afterward?

No. The assessment is a standalone, one-time fee. The report is yours whether you hire us to implement it, hand it to your IT person, or run it yourself over a weekend.

How does the guarantee work?

If the report doesn't identify at least five hours a week of realistic time savings for your business, tell us on the walkthrough call and we refund the full fee. No forms, no argument.

Is this only for Dallas–Fort Worth businesses?

We're based in North Texas and happy to meet in person locally, but the assessment runs entirely over video, so location isn't a constraint.
